Payroll & Benefits Coordinator
The Payroll and Benefits Coordinator is responsible for ensuring bi-weekly payroll including off cycle payments and other duties as required. The role also supports the administration of CEC benefit plans.
DUTIES & RESPONSIBILITIES
PAYROLL
- Ensure bi-weekly payroll including off-cycle payments are administered accurately within the required timeframes and in accordance with legislative requirements.
- Create manual cheques as necessary.
- Ensure all electronic bi-weekly pay slips are dispatched and received on time.
- Collect time sheets as necessary.
- Edit and confirm daily time records.
- Enter any commissions, bonus or other payroll earnings into the payroll program.
- Maintain garnishee payments as required.
- Manage vacation forms.
- Complete ROEs for terminated employees.
- Liaise with Managers, Supervisors and Foremen on payroll issues.
- Resolve payroll queries within a timely manner.
- Verify source deduction payments made by the payroll program.
- Process year-end – reports, T4’s.
- Create and post payroll journal entry.
- Create and post wage accrual journal entry.
- Reconcile payroll accounts.
- Perform other payroll related duties in support of CEC as required i.e. new/re-hires, terminations & benefits administration.
BENEFITS
- Administer benefits – Desjardins, Great West Life and MSP
- Maintain and authorize RRSP contributions.
- Handle all inquiries and complaints regarding benefits.
- Provide information to employees, supervisors, and managers to ensure that benefit programs are understood.
FILE & DATABASE MAINTENANCE
- Maintain employee payroll files and details including allowances, base pay, deductions, benefits, and leave accrual to ensure information is up to date and time sheet entry interpretation and system calculations are correct.
- Maintain all employee related data to ensure its accuracy and privacy.
- File payroll and benefit documents.
- Maintain payroll database.
- Maintain master records and respond to employee and administrative staff queries.
- Enter all new employees into the ERP system.
REVIEWS & REPORTS
- Complete annual PIER review.
- Complete payroll/benefit reports.
OTHER
- Actively participate in and identify areas of improvement and provide solutions.
- Support team members as required in daily tasks and special projects.
- Process WCB accrual.
- Respond and answer employee’s questions and concerns regarding payroll and benefits.
- Work closely with Human Resources on payroll and benefits policies and procedures.
- Perform work in accordance with CEC documented policies and procedures.
- Complete all applicable quality records.
QUALIFICATIONS:
EDUCATION
- Post secondary education in business administration or a payroll certification required.
EXPERIENCE
- A minimum of two years progressive experience in a computerized payroll environment.
PHYSICAL
- Excellent written and verbal communication skills.
COMPUTER SKILLS
- Proficiency in MS Office Suite.
- Accurate data entry.
- ERP experience an asset.
CERTIFICATIONS / LICENCES / PERMITS
- Strong employee relations skills.
- Good organizational skills.
- An eye for detail.
- Pro-active and flexible approach to assigned tasks.
