The Requirements

To meet the basic qualifications for this role you will have legal authorization to work permanently in the United States for any employer without requiring a visa transfer or visa sponsorship.   • Experience in a role requiring you to plan, schedule and coordinate among multiple departments, ideally in maintenance planning. You also might have acquired this experience in operations, supply chain, customer service or inside sales.

    • The ability to work in multiple applications and windows simultaneously.
    • Proficiency with MS Word and Outlook.

Role Overview

Reporting to the Operations Services Manager, you will join a team that includes four other Customer Service / Dispatchers (internally the title is Maintenance Planner). While each covers a region of the U.S. and/or Canada, the team collaborates in backing one another up and in coordinating where areas overlap. You'll also interact with Service Technicians in the field, Customer Service, the Manager, Regional Directors and others.

The main focus of the role will be scheduling preventative maintenance and emergency service at fueling facilities operated by Clean Energy. Among other considerations, you'll ensure that the Technicians have enough work to keep them busy, but not more than they can handle. In addition, when an urgent issue arises, you will coordinate across functional lines to ensure we resolve that issue within established service parameters.

In addition, there is a strong administrative/documentation aspect to this role, which can impact revenue. While the planning side requires a fast-paced approach and the ability to manage multiple priorities, on the admin side you will need to slow down to ensure you understand contractual, pricing and other information relevant to your documentation. Your overall objectives and activities will include:
  • Preparing schedules, coordinating work, and implementing preventative maintenance programs.
  • Developing and maintaining equipment records and cost distribution.
  • Working with the Service Technicians, Directors of Operations, Operations Service Manager, and the Customer Service department to identify basic and routine issues and achieve a seamless service operation.
  • Planning, scheduling, and controlling inspection routes, preventative maintenance Work Orders and Corrective Action Work Orders by following detailed procedures.

You specific activities will fall into three main areas. As part of the planning and scheduling process, you will:
  • Follow detailed procedures to execute the planning and scheduling process.
  • Communicate processes to Technicians and other stakeholders.
  • Add new and generate existing Inspection Routes, Preventative Maintenance and Corrective Work Orders as requested.
  • Assemble work schedules that take into account equipment needs, equipment availability, labor needs and labor availability.
  • Work closely with the Directors of Operations, Operations Service Manager and Supply Chain to understand and optimize scheduled work.
  • Keep abreast of work prioritization processes within Operations, Quality, Safety, and with other stakeholders.
In the area of providing computerized maintenance management systems (CMMS) leadership, you will:
  • Communicate and adhere to CMMS standards and usage.
  • Perform basic data analysis on CMMS information in order to develop solutions to routine technical problems and determine areas of opportunities.
  • Act as the point person for CMMS setup around new capital including service objects and assets, asset hierarchy, inspections, PMs and correctives.
Acting as a maintenance and technical resource, you will:
  • Communicate how the various components fit and work together in order to make the equipment/system run effectively.
  • Support sites with technical issues as they arise.
  • Participate in problem solving activities.
  • Participate in preventative maintenance development.
